User Features

Vision-e Scan is the “always with you” mobile solution for capturing the start of every business relationship: the mutual exchange of business information. Offering a native Salesforce experience, Scan is a managed package that is easy to use and configure. Scan is delivered through a mobile app for Android and iOS devices and an intuitive Scanning Queue and Mobile App Builder in Salesforce desktop. In this post, we demonstrate key user features as well as Salesforce Admin tasks.

Step 1: Collect Actionable Business Intelligence

Optical Character Recognition and AI

The power of Scan begins with Vision-e’s proprietary Optical Character Recognition (OCR) algorithm that interprets and enters contact data into Salesforce 10x faster and more accurately than manual entry.  And there’s no worry when it comes to international events. Scan interprets over 40 languages! 

And because data security is more important than ever, OCR is performed using Vision-e’s proprietary zero data retention processing. Your customer data is only stored in your Salesforce instance where it’s protected by your company’s data security policies, practices, and infrastructure. Vision-e doesn’t store any of it.

Scan also features optional artificial intelligence processing powered by OpenAI to map the results of on-device OCR, increasing the accuracy of business card and badge scans. The AI feature can be disabled via a simple toggle switch to comply with company policies restricting the use of AI.

Multi-Format Business Card Capture

Depending on the options you as a Salesforce Admin choose to toggle in the Mobile Scan Builder, the user can open the app and choose which format to process. Scan can capture contact details from paper business cards, Near Field Communication (tap) cards, QR codes, and event badges with an API key. You’re free to engage everywhere, capturing opportunities across the entire event venue and beyond, not just the exhibit booth. 

Users can also create Tasks and Events or even add records to a Campaign for quick identification of the effort, ultimately relating the person with potential event-generated revenue. 

Retrieve Event Badge QR Code Data

When it comes to large trade shows and networking events, event badges can be a convenient source of attendee contact information. While the scan option is great for capturing text displayed on the badge (ex. name, company, and event), users can integrate the event’s API key to extract contact data encrypted in the badge’s QR code.

Seamless LinkedIn Integration

With many Salesforce customers making use of LinkedIn’s Sales Navigator, on top of the free version of LinkedIn as a platform, a way to easily capture LinkedIn profiles at record levels is in high demand. 

Vision-e Scan uses the person’s Name and Company Name from the business card or badge to search for matching records on LinkedIn. Your users can also manually search if needed, and once a profile is selected they just need to click the Save icon at the top – the LinkedIn URL will be captured in a custom field. You can also scan a LinkedIn QR code to capture the person’s LinkedIn contact information. 

Keep in mind that none of these actions will prompt the end user to leave the Scan app, as all the steps will happen directly in their flow of work without needing to switch to the actual LinkedIn app.

With legal compliance being top of mind for organizations worldwide, ensuring that consent is documented properly and in detail for the personal data being processed has become a compulsory process with no room for mistakes. Vision-e Scan offers an out-of-the-box solution for consent purposes to be individually created and managed, for every single scan your team will perform and push to Salesforce. Within the Mobile Scan Builder, the Consent Settings tab has everything you need – the possibility to create as many purpose statements as needed, and also customizing the accept and decline button text. 

Once established and activated, the statements will become available within the Signature section on the app, before sending the Lead, Contact, or Prospect to Salesforce or Marketing Cloud Account Engagement. Each statement will have the option to be accepted or not, and the app also provides the option for a signature before the record is saved.

As you might have already noticed on the Record Page a few sections above, the signature image will also be related to the Salesforce record. Additionally, the Consent and Consent Purposes are actual Salesforce records, which contain the exact timestamps and can be further analyzed directly by Legal Ops in Salesforce reports. With this kind of process and level of detail, GDPR-related requests in the EU, for example, can be executed smoothly. 

Add Actionable Business Intelligence

The best time to add qualifying data to a Lead or Contact is immediately after meeting someone while the information is top of mind.  With Scan, you can easily add voice-to-text Notes with key details about the person along with customized qualifying questions before sending it to Salesforce. Associated Tasks and Events can also be created directly from the app.

You can also send records directly to a Salesforce Campaign to relate them to a particular event. Once a Campaign is selected, all following scans will be added to the same Campaign until changed, to ensure once again that the user’s time is well spent. 

With high-fidelity business intelligence available for each new opportunity, it’s easier for business stakeholders to craft relevant post-event communications, follow-up cadences, and opportunity assignments.

Step 2: Share Your Business Information

Successful business relationships need two-way communication, so don’t just collect their information. Establish trust and open a dialogue by sharing yours.

Share Your Digital Business Card

Scan includes your own digital business card (DBC) which you can share by QR code, AirDrop, messages, or email without leaving the app.  It’s even available in the free version! On initial log-in, the DBC auto-populates with contact data from your Salesforce profile. Thereafter, it can be manually edited as necessary. For free-version users, set-up is manual, but takes only a few minutes.

Share QR Codes to Multiply Engagement Opportunities

Sharing information with customers or prospects on the go can easily become a cumbersome task. On a desktop browser, it may be easy to organize bookmarks, add URLs in an email, or even in Notepad. However, the context changes when your team is at a crowded venue and only has a few minutes to best represent your product’s capabilities to potential customers alongside dozens of other vendors. What if this can be achieved more efficiently?

A hidden gem you may not have expected when thinking about an events app is the possibility for Salesforce Admins or even users to create different types of QR Codes which can then be accessed and shared during trade shows, meetings, and field service appointments in the Service realm. While this could easily be a separate app or product considering the potential, Vision-e Scan includes the entire functionality users might expect from such a feature. 

The QR Codes available for all users have to be created or imported in Salesforce and be marked as active before they become visible in the app. They need a Title, Category, and URL – but that’s it!  Users can create their own, individual QR codes directly on the app using the same process.

Switching to the mobile app in the My QR Codes menu, the titles are organized under each category. Users can choose to click through any of the existing QRs for the prospect to scan it, or can quickly create new ones on the go. The QR Codes created by users are only available to them, and won’t be visible as Salesforce records. Imagine just how easily a business card or a success story can be shared now! The URL can be anything your users need, from sales materials to support forms, and even online Job Applications if an HR colleague attends an event. 

Step 3: Opportunity Management

Scanning Queues

Face-to-face conversations at trade shows or other events are time-sensitve and rarely offer the opportunity for traditional lead management tasks. Enter the Scanning Queue.

The Salesforce Scanning Queue enables reps to quickly scan the business card on their device then send it to Salesforce for processing as a Lead or Contact at a more convenient time. The Scanning Queue uses Lightning Web Components and intuitive gallery and list displays to provide sales managers and marketers with a speedy, efficient way to manage Leads and Contacts during or after an event.

If you decide to expose it, users can also benefit from an Offline Scanning Queue, where the records they scan will be sent in case the internet connection is not reliable enough to send data. This way, no information is lost, regardless of how remote the area is.

If the records are sent to the Salesforce Scanning Queue instead of being created directly as Leads or Contacts, this will be an action to take within the CRM. 

If configured, the Scanning Queue respects duplicate rules, so this won’t compromise your data quality regardless of how data is being sent to Salesforce from the mobile app.

Admin Features

Make the Vision-e Scan App Your Own

While the Scan mobile application can be plug-and-play as soon as the users have permissions and authenticate using Salesforce, be it via credentials or SSO, why not make it your very own first? Vision-e has optimized the application in such a way that you can seamlessly customize the entire experience with clicks, not code.

Branded Experience

By accessing the Mobile Scan Builder – Lightning from the App Manager, you can access the one-stop shop for the Scan mobile application behavior, right in your Salesforce instance. How cool is that? 

The Design tab allows you to fully brand the experience, with your company’s logo and color palette in a matter of seconds, as long as you have the HEX Codes at hand. This also includes the buttons for each of the actions available to the end users, which also have a gradient.

Once the changes are saved in Salesforce, make sure to notify the users to click on “Refresh Settings” in the app menu. This step will have to be done every time changes are made for them to be properly reflected. 

Switching from Salesforce to the actual mobile app, the changes are ready for users to enjoy. Additionally, you should guide them from the start setting their picture and business card for it to be ready to share during the trade show. This can be done at the bottom of the main app screen simply by clicking on the profile picture which will initially appear as a gray placeholder. 

During this initial phase, it’s also worth exploring the menu as well as the app settings, such as the default Language.

Customize In-App Actions and Options

Moving on from the look and feel into the options and functionality available within the mobile app, note that each button can be controlled through a simple switch. For example, you can choose to allow your team to add additional photos or notes, and whether they should be able to save the contact information from the business cards on their device.

Under the Options tab, you will also find the Destination page settings, where you have full control to decide if records can be related to Salesforce Campaigns, or even sent to Marketing Cloud Account Engagement or Outlook. 

Pick and Choose Salesforce Record Fields

Continuing in the Mobile Scan Builder, it’s time to determine the information that users should complete about the scanned prospects. This screen can contain information found on a business card and any other standard or custom field that the end user can complete manually if they have the information. The field selection is available for Leads, Contacts, as well as Tasks, Events, and Cases.

The app experience is on one page, and users can scroll down to go through all available fields. You can also choose the order these will appear and rearrange them as needed. If one of the fields is a picklist such as Lead Status or Industry, clicking on the field will bring up the available values defined in Salesforce, maintaining the cleanliness of your data.

Enhance Lead and Contact Record Pages

While the Vision-e Scan app is used to get the information in Salesforce, the users will continue their day-to-day tasks in the CRM once they return to their desks. The managed package includes a couple of Lightning Web Components which should be exposed on the Lead and Contact Record Pages for any images and consent information to be easily accessible as soon as the records are created.

Reporting

Since your data will be stored in Salesforce Objects, this means that native Reports and Dashboards can be used to track the adoption and the solution’s impact on the overall revenue goals. Both the Leads and Contact objects will have quite a few fields to dive into as well, which will allow your teams to quickly update existing Reports after the Vision-e Scan implementation. Alternatively, separate reporting can be done on Scan Items or even Campaign performance.

The way to identify records that were generated through the mobile application is to leverage the Created by eContacts boolean. This will allow you to obtain a focused view and further analyze how the records are being actioned.

Roadmap
