Top 5 Salesforce Global Actions You Should Set Up Now

Global Actions are another one of those easy-to-miss features of Salesforce. They’re so small that most users don’t notice them, and so innocent looking that many admins ignore them. But there’s actually a lot of interesting things you can do with this seemingly simple feature. 

Today, we’re going to go a step further and talk about my five favorite things to implement with Global Actions that will take your record creation to the next level.

1. New Case (by Type)

Cases are one of the most common objects to have different Types or Record Types. When an org has Record Types on Cases, Support teams generally appreciate the ability to create a new Case quickly without having to select the record type. You can skip that entire step with Global Actions and give them a fast way to create a case without leaving the screen they’re currently working on.

From Global Actions in Setup, click “New”. Select your Object and Record Type, and be sure to give it a custom Label indicating that Record Type:

Then set your predefined field values and layout to include only what is typical and required for this specific Record Type:

Add your Action to the appropriate Publisher Layout, and that’s all there is to it!

 2. New Escalation

Escalations always need to be handled in a timely manner, but rushing and creating one incorrectly can cause a lot of problems for the end customer. Their issue may not get addressed quickly, and your company’s reputation could be put at stake because of that. A New Escalation Global Action allows the case to be created and critical fields to be filled out all on one screen. 

You’ll probably want a supporting flow on this one to assign it to the right person or queue, as it doesn’t look like this idea has been implemented yet. 

3. Generate Pipeline (by Type)

This one is a fantastic option for Sales teams, as things like Renewals and New Business Opportunities are often very different from each other. 

Even if you don’t have Record Types, you probably have different fields that need to be filled out depending on what kind of Opportunity is being created. This Example is for a New Business Opportunity:

Notice that the user needs to fill out only TWO fields! Everything else defaults for them or is not required.

4. New Primary Contact

This one is a very simple single pre-defined field. However, even seemingly simple changes can have a big impact. Checkboxes in Salesforce are small and easy to miss; I’ve found them to be one of the most forgotten fields for users.

 A Global Action allows your users to immediately add a new Primary Contact without having to remember to check an extra box.

5. New Partner Account

Most companies work with partners, vendors, resellers, and the like. These Account records are often very different from a prospect or a customer. You may never sell them anything directly, but you still need to keep track of the Account so it can be attached to other potential Opportunities, and to keep a working list of Contacts. 

Having a Global Action to create a new Partner Account makes it easy and fast to add and allows those extra fields to be populated with minimal or no effort. 

Final Thoughts

These Global Actions are not very technical but will be extremely impactful for your users. Take the time to sit down with your users and find out what their frustrations are with Salesforce.
