5 Ways to Minimize Accidental Salesforce Data Loss with an Exceptional User Interface

When it comes to Salesforce user interface (UI) design, the flexibility and control in the design is up to the admins or developers. If your end users are constantly struggling to clearly see their data, you might want to consider some re-designs to better optimize your pages.

The importance of a well-built interface for your end-user can help alleviate many issues and improve company performance. A few impacts of an exceptional Salesforce UI include:

With more and more features and components coming in through Salesforce Lightning and the Salesforce AppExchange, how can you design a better Salesforce UI? Here are 5 ways you can minimize data being accidentally misplaced by working to optimize your Salesforce UI. 

1. Conduct user research

Before you jump right into page redesigns, you need to first understand the personas for which you are building. Once you have your user personas defined, try to understand how they use the system. Their responses will help you develop the building blocks of your page.

Some sample questions for interviewing your users are:

  • What are your most common tasks?
  • How long does it take to complete these tasks?
  • What is your normal everyday process with this system?
  • What do you like the most about the system?
  • What are your frustrations with the system?

Salesforce provides a lot of out-of-the-box functionality to help aid in developing a great UI. For example, are your users using Chatter every day? Then you should use the “Chatter Feed” component within your Lightning utility bar.

Global quick actions and the Lightning utility bar are easily accessible from anywhere within your App. Are they logging calls on opportunities several times a day? Then check out the Interaction Log feature for Salesforce Console.

2. Find or build components that make day-to-day activities easier

Never try to reinvent the wheel. Salesforce provides you with many out-of-the-box capabilities that could improve usability and productivity.

Do you need to see all of your opportunities grouped by stages? Check out the Kanban view within Lightning.

Or do you need to mass edit accounts and their related contacts? Check out the Salesforce AppExchange for some cool component add-ons.

 

If there are no out-of-the-box or Salesforce AppExchange options available and you have developer resources, you can create re-usable, completely customized components or pages. The possibilities are endless when it comes to creating your own components, and you can leverage the Lightning Design System to ensure your components maintain the same look and feel as your current interface.

3. Show minimal information

One of the reasons users miss enter information is they are flooded with too many fields to input. Minimize the amount of information on each page to only what is necessary. You can set component visibility within Lightning, so you will only show each component when needed.

Accordion sections and tabs are also great ways to keep information on a page at a minimum. Leverage record types, lookup filters, and dependent picklists when possible to prevent inaccurate responses.

4. Keep everything consistent

Consistency is key. If you display phone numbers on the top of your page layouts for accounts and towards the bottom on your opportunity layouts, you are creating confusing UI for your end users. Keep your field orderings as consistent as possible across your layouts so users can intuitively and quickly scan for the information they need.

Ensure you keep a consistent look and feel across your custom-built pages. A “Save” button on one page should look exactly the same as the “Save” button on a different page. Building reusable components for Lightning is a great way to ensure consistency across your pages.

5. Follow best practices for error messages

When users submit forms, it can be frustrating when many fields do not meet the validation rules. Sometimes error messages appear at the top, requiring users to read through each message and scroll down the page to correct these messages. Solve this common UI problem by keeping your error messages next to the field that has an error to ensure users do not have to constantly scroll up and down a page.

In addition, your error messages should very descriptive. Do not keep a user guessing on what they entered incorrectly. Error messages should be short, but concise so that users can quickly correct their mistakes and move on.
